Tenant Services Coordinator (Temporary)
Catalyst Community Developments Society is a not-for-profit real estate developer, owner, and manager/operator with over 600 affordable rental homes currently in operation, and over 1,000 additional homes and 80,000 sq. ft. of community program space currently in various stages of development across BC. We are currently seeking a Tenant Services Coordinator (Temporary) to join our team for approximately 1 year to cover a maternity leave. The successful candidate will be patient, kind, and possess a positive attitude with strong attention to detail and accuracy. The Tenant Services Coordinator will be responsible for ensuring tenant satisfaction and managing the leasing process for residential and commercial properties. They will work closely with property managers and other staff to provide exceptional customer service to tenants and prospective tenants.
Reporting to the VP of Property Operations, your responsibilities will include:
- Responding to tenant inquiries, requests, and complaints in a timely and professional manner.
- Managing the leasing process for residential and commercial properties, including advertising, showings, tenant screening, lease preparation, and move-in coordination.
- Conducting property showings and tours for prospective tenants.
- Screening prospective tenants by reviewing applications, conducting credit and background checks, and verifying references.
- Coordinating move-ins and move-outs, including conducting inspections and coordinating with property managers and maintenance staff.
- Coordinating repairs and maintenance requests, including dispatching vendors and ensuring work is completed to a satisfactory standard.
- Conducting regular property inspections to identify and address issues before they become problems.
- Participating in regular meetings with property managers and other staff to discuss tenant issues and provide updates on property management activities.
- Maintaining a positive relationship with tenants and ensuring their satisfaction with property management services.
- Leading the Catalyst “Community Connections” program which includes landlord-led or supported social events, workshops, and “Town Hall meetings”, as well as support for resident-led community building initiatives.
- Other duties as assigned by the VP of Property Operations in support of the Catalyst Property Management Team
Qualities
- Strong communication and interpersonal skills, with the ability to communicate effectively with a diverse range of individuals.
- Excellent organizational and time-management skills, with the ability to prioritize and manage multiple tasks simultaneously.
- Ability to work independently and as part of a team.
Qualifications/Experience
- 3-5 years of experience in customer service, leasing, property management, or a related field.
- Proficiency in Microsoft Office, Google Suite, Mac and PC operating systems. Experience with YARDI and/or property management software is an asset.
- Knowledge of the Residential Tenancy Act and other relevant legislation is an asset.
- Post-secondary education in property management, business, or a related field is preferred.
